Privacy Notice
How Spherikal handles what you share. Last updated October 13, 2026.
Who we are
Spherikal is a leadership-development tool made by Reason Talent Solutions, LLC. Your AI coach, Sphere, uses what you choose to share to build a personalized read of your strengths and growth areas and to help you work a development plan. This notice explains what we collect, how it’s used, who can see it, and the control you have.
If you signed up yourself, or bought a plan, we decide how your information is used and this notice applies in full. If your employer gave you access under its own agreement with us, your employer decides how the service is set up for its people, we act on its instructions, and its own privacy notice applies too. Either way, you can contact us directly.
What we collect
From you
- Your name and email, your password if you set one (held only as a secure hash by our sign-in provider), and when you accepted our terms.
- Whatever you choose to share to introduce yourself: assessment responses, an uploaded assessment or report, a résumé, a career walkthrough, documents about your role or work, or an import from another AI tool.
- Your development plan, goals and commitments, and your coaching conversations with Sphere.
- If you use Sphere in Microsoft Teams or Slack: the link between that account and Spherikal, and the messages you send Sphere there.
- If you connect your Outlook or Google calendar: the times of your meetings and who’s invited, read only to spot your one-on-ones (see “Your Outlook or Google calendar”).
- Your notebooks: the notes you keep on people you meet, which only you see (see “Your notebooks”).
- If you connect Fathom: the transcripts of meetings you record there, kept privately for you (see “Your Fathom meetings”).
- If you buy a plan: the plan, the number of seats, and its billing status. Your card details go to Stripe, not to us.
- Feedback you give about other people when they ask you for it (see “Feedback you give about someone else”).
From other people
- Your name and email, when someone invites you, asks you for feedback, lists you on a team, adds you as a supporter, or sends you a survey. You can decline any of these.
- Feedback your raters give about you in a 360 you run.
- Your name, email and reporting line from your employer’s HR system, only if your employer connects one.
- Notes your manager keeps about working with you, if they use Spherikal’s manager tools (see “Your manager”).
Automatically
- The cookies that keep you signed in. We use no advertising or analytics cookies or trackers. Your browser may also keep an unsent draft (a survey answer, say) so it isn’t lost if the page reloads.
- Counts of how much of the AI service your account uses, for cost and capacity. These counts contain nothing you wrote.
- Standard technical logs our hosting and database providers keep to run and secure the service.
You decide how much to share. The more you share, the sharper your coaching.
How it’s used
- To translate what you share into a consistent set of leadership competencies and to ground your coaching and plan.
- To run the features you and your organization use: plans, reminders, 360s, surveys, and reads on working together.
- To send you service emails (sign-in, invitations, receipts) and, if you want them, reminders about your plan. You can turn reminders off in Settings.
- To keep the service secure, prevent abuse, and meet our legal obligations.
- To improve Sphere’s coaching, and to publish research on what helps leaders grow, using information combined across many people with everything that identifies anyone removed. Nothing we publish describes an individual or names an organization.
- We don’t sell your information or share it for advertising.
How the AI works with your information
- Sphere runs on Anthropic’s AI models. Under Anthropic’s commercial terms, what we send them is not used to train their models.
- Your read is built from what you share, using the same scoring method for everyone. It describes tendencies to help you develop. It is not a judgment of your performance, and Spherikal itself makes no decisions about your job.
- Sphere may search the web for development material such as articles, books and talks. It is instructed never to search for anything about you, your colleagues or your organization.
- If you mention your health or another sensitive matter in a conversation, Sphere uses it only to coach you. It never becomes part of your read, and it is never passed to anyone as something you said.
Who can see it
You. Everything you’ve shared, in “Your profile”. Sphere never shows raw assessment scores back to you, and never repeats an uploaded report’s own labels.
Your organization sees groups, and whether you’re taking part. By default your organization sees aggregate views of groups, plus whether each person is taking part (such as when you were last active and whether you finished a plan), never your answers or your read. Any group smaller than its minimum (never fewer than 3 people) is hidden so no one can be singled out. You can keep your read out of those aggregates in Settings. Some organizations, under their own agreement with us, have their authorized HR or talent team see a development-oriented read of each person: strengths and growth areas, which inputs they’ve shared, and short summaries of them. Where that applies, you can turn it off in Settings, and where local law requires it (for example in Quebec, the EU or the UK) nothing from your read is shared until you agree. No one at your organization ever sees your raw assessment answers, item scores, or any “risk” or derailer flags. If you signed up yourself, or your team bought a plan, no one at your company can see your individual read.
Colleagues who ask how to work with you. People in your organization can ask Sphere how to work well with you. The coaching they get draws on a short summary of your self-description, summaries of documents you’ve shared about your role and work, any commitments you’ve made public, and your working-style tendencies in plain language. It includes your plan’s focus areas only if you turn on “Let colleagues see what I’m working on”, or have shared your plan with that person. It never uses your coaching conversations, your scores or your raw answers. Turn off “Let colleagues get coaching about working with me” in Settings and no one can get a read on you. Where local law requires opt-in, it’s off until you agree.
People you share your plan with. A supporter you invite sees the plan you share with them, and you can pause sharing at any time.
A coach your organization assigns. Only if your organization provides one and you agree. The coach can see your competency read, but not your conversations with Sphere.
Your manager
- Someone is your manager in Spherikal only if your employer’s HR system says so or you confirm it yourself.
- If you share your plan with your manager, they see it, can approve it, and get a short progress summary about every three months. You’re told when one is sent, and you can pause sharing at any time.
- Managers can keep private notes about working with each person on their team. You don’t see your manager’s notes, and Sphere doesn’t use them in your coaching.
- On some plans, a manager can get a heads-up when something their whole team is facing is getting worse. It happens only if their organization turns it on, only from at least three people’s patterns, and it never says who, never quotes anyone, and never gives a number. Turning off “Let Sphere notice patterns across our conversations” in Settings keeps you out of it.
Feedback you give about someone else
- A 360. We keep your email, your relationship to the person, and your answers. They see themes drawn from at least three people’s answers, never who said what, and your answers help shape their development read. If their organization assigns them a coach, the coach may read the answers themselves, unlabelled and shuffled so they can’t be traced to you.
- A Team 360. Anyone can set up a team and list who’s on it. Each person is asked to confirm, and saying no takes them off the list. Once most of the team confirms, a member can ask the team’s stakeholders, inside or outside the company, four questions about how the team works with them. The team reads themes from at least three people’s answers, never who said what, and never anything about one person on the team. The themes go only to the people who’d confirmed they were on the team when it went out, and never feed anyone’s own read or scores. A stakeholder can choose not to be asked again, and no one is asked more than three times in any two weeks.
- Team listening and engagement surveys. We keep your email and your answers. Results are shown only for groups of at least three, and never as anyone’s individual answers. If you’re asked whether you report to the person who sent you a survey and say yes, that reporting line is recorded.
If you buy a plan, or join one
- Payments are handled by Stripe. We never see or store your card number. We keep the plan, the number of seats, the billing status, and Stripe’s reference numbers for your customer record and subscription.
- On a team plan, the person who pays sees who holds a seat (name and email) and whether they’ve joined, and nothing else. Paying for someone’s seat never shows you their assessments, plan or conversations.
- If the person who pays says you report to them, you’re asked to confirm it. Until you say yes, they aren’t your manager in Spherikal.
- To keep invitations from piling up, no one receives more than three invitations to join in any two weeks. We use the record of invitations sent to you, and who sent them, only for that.
- If you sign up or buy a plan with a work email, you join your company’s space in Spherikal: everyone who signs up with an email at the same domain shares it. Colleagues there, on any team, can find you and ask Sphere how to work with you, under the settings described above. Each team’s plan, seats, surveys and results stay with that team: no team sees another team’s results. Personal email addresses (Gmail, Outlook and the like) never join a company space.
- Without a paid seat, or if your seat ends, you stay in your company’s space on the free plan, and everything you’ve done is kept.
- If your company already has Spherikal through its own account, signing up with your work email sends you to your company’s admin instead, and shows you their name and email. If you ask them for a seat, we email them your name and email address.
Connecting with people outside your organization
If Your network is available on your account:
- No one can find you until you turn on Let people find me. Then people can find you by name or email, and they see your name, your photo if you’ve added one, and the one-line headline you write.
- When you ask to connect with someone, they see your name and email. When they accept, you each see the other’s name, photo, headline, organization and email.
- Your photo also shows beside your name to teammates on your plan when they pick you in Sphere, so they know they have the right person. You never have to add one.
- Once connected, either of you can ask Sphere for a working-together read on the other. Across organizations it draws only on your working-style tendencies and your headline: never your scores, your coaching conversations, documents you’ve shared, your plan, or your organization.
- Sphere keeps the latest read for the person who asked, so it opens again at once; once something about either of you changes, the next one is written fresh. It’s deleted if either of you disconnects, turns off “Let colleagues get coaching about working with me” in Settings, or deletes their account.
- Either of you can disconnect at any time, and it takes effect immediately.
Microsoft Teams and Slack
- When you link a Teams or Slack account, we store the IDs needed to recognize you there and to reply to you (your organization’s tenant or workspace ID, your user ID, and the conversation reference).
- Messages you send Sphere there are saved to your coaching history and processed the same way as a conversation in the app. Sphere’s replies are sent back through Microsoft or Slack.
- Sphere only receives messages meant for it. In Slack, that means direct messages. In Teams, it means your chats with Sphere and messages that @mention it in a group chat or channel, which it answers privately. It doesn’t read your other conversations.
- If you choose Teams for reminders, check-in reminders are sent to you there instead of by email.
Your Fathom meetings
- If you connect Fathom with your Fathom API key, Spherikal receives the meetings you record there: the title, the time, who was invited and the transcript. It only keeps meetings you were in.
- Sphere reads each one for what you said you’d do and offers to track it. Nothing is tracked until you say so.
- The transcripts are kept privately for you. Your manager, HR and your organization’s admins never see them, and they never feed a score.
- Your Fathom key is stored encrypted. Disconnect any time in Settings to stop new meetings; the ones already kept stay until you press “Delete my meetings”, which deletes them all.
Your Outlook or Google calendar
- If you connect your Outlook or Google calendar, Sphere reads the times of your meetings in the coming week and who’s invited, only to spot your one-on-ones (meetings with just you and one other person), so it can give you a heads-up before each one and ask how it went.
- It never reads what a meeting is about: no titles, descriptions, notes or locations.
- It keeps only each one-on-one’s time and who it’s with (their email address and the name your calendar gives them), and deletes that, and the reminders it put in your Spherikal inbox, within three days of the meeting. It is used for those reminders and nothing else: never to assess anyone, and never to map who meets or works with whom. The one time it reaches a conversation with Sphere is when you press “Practice first” on a reminder: that opens your own conversation with who the meeting is with and when.
- The access Microsoft or Google grants is stored encrypted. Disconnect any time in Settings, which deletes it and everything kept. You can also remove Spherikal’s permission in your Microsoft or Google account.
- Spherikal’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements: it is never sold, never used for advertising, and never used to train AI models.
Your notebooks
- A notebook on someone you meet holds the notes you write about them, their email address and their name. One is started only when you start it, or when you open a reminder about a meeting with them.
- Only you see your notebooks. They are never shown to the person they are about, your manager, your organization or anyone else, and never used to assess anyone.
- Sphere also shows you, there and in your reminders, what your own meeting transcripts say about your meetings with that person: what you said you’d do, and how much of the talking you did. These are measured from your own transcripts and shown only to you.
- Delete a note or a whole notebook at any time from the notebook itself.
Who processes it for us, and where
We use a small number of service providers, each only for the part of the service it runs:
- Anthropic: the AI models behind Sphere, including web search.
- Supabase: our database, sign-in and file storage.
- Vercel: hosting.
- Resend: email.
- Stripe: payments, if you buy a plan.
- Microsoft and Slack: only if you, or your organization, connect them.
- Your organization’s HR system (for example BambooHR or Microsoft SharePoint): only if your organization connects it.
Our database and hosting are in the United States. If you use Spherikal from elsewhere, your information is transferred to and processed in the United States.
How it’s protected
- All data is encrypted in transit (HTTPS/TLS) and at rest.
- Access is locked to your own account by database row-level security.
- Credentials and API keys are server-side only — never in your browser.
- If a breach affects your information, we’ll tell you, and the authorities, as the law requires.
A detailed security brief is available for your IT/security team on request.
How long we keep it
- While your account is open, we keep what you’ve shared so Sphere can keep coaching you. We don’t delete it on a timer.
- When you delete your account, we delete your profile, assessments, uploaded files, plan, goals and coaching conversations, including any from Teams or Slack.
- Some records stay:
- Feedback and survey answers you gave about someone else. They’re part of that person’s 360 or their team’s results.
- Notes your manager kept about working with you. They’re your manager’s records.
- Your name and email in your organization’s directory, if your organization or your company space added you to it, with the link to your account removed.
- Billing records we have to keep for tax and accounting.
- Usage counts, which contain none of what you wrote.
- A security log of administrative changes.
- Deleted information can remain in our database backups until those backups expire. Backups are kept for 7 days.
Your rights and choices
- View everything you’ve shared anytime in “Your profile”.
- Update or remove any individual input: retake an assessment, replace or delete a report or résumé.
- In Settings, choose whether your read joins your organization’s aggregates, whether colleagues can get a read on you, whether they can see what you’re working on, whether Sphere notices patterns across your conversations, and whether you get email reminders.
- Delete your account from Settings. “How long we keep it”, above, says exactly what that removes.
- Ask us for a copy of your information, to correct it, to delete it, or to stop a particular use: email support@spherikal.com. We’ll confirm it’s you and reply within 30 days. If we can’t do what you asked, we’ll say why, and you can ask us to reconsider.
- Depending on where you live, you may also have the right to complain to your data protection authority.
- Using any of these rights never changes the service or price you get.
Age
Spherikal is for people 18 and older. We don’t knowingly collect information from anyone younger.
